# NEMT Conferences and Events in 2027: Dates, Cities, and Who Attends

A NEMT conference puts you in a room with brokers, health plans, transit agencies, and state staff. The big national dates: The Transportation Alliance's Mobilize, October 26 to 28, 2026, in Orange County, California, and CTAA's EXPO, June 6 to 9, 2027, in Atlantic City. NEMTAC's Transform, built only for NEMT, ran August 16 to 19, 2026. State transit meetings cost less, and Medicaid advisory committee meetings are free.

- NEMTAC's Transform is the one national conference built only for NEMT, and its 2027 dates were still unannounced on October 2, 2026.
- CTAA's EXPO runs June 6 to 9, 2027, in Atlantic City, and its Legislative Fly-In runs March 3 to 5, 2027, for members.

A NEMT conference is worth the trip when the people who decide your trips are in the room: broker network staff, health plan managers, transit agencies that contract out rides, and the state staff who write the rules. Here are the events from late 2026 through 2027, with each date as the organizer listed it in October 2026, and who each one is for. Dates move, so check the organizer's page before you book.

## National NEMT conferences for late 2026 and 2027

Five national groups hold the events where NEMT owners meet buyers and regulators. Most move to a new city each year.

### NEMTAC Transform

NEMTAC calls Transform the national conference focused only on NEMT. It lists five audiences: NEMT providers and their managers, brokers and broker networks, health plans, state Medicaid agencies and regulators, and technology partners. Transform 2026 ran August 16 to 19, 2026, at the JW Marriott Grande Lakes in Orlando. Watch NEMTAC's events page for the 2027 dates. ### The Transportation Alliance's Mobilize

Mobilize 2026 is the group's 108th annual convention and expo, October 26 to 28, 2026. The host hotel is the Hyatt Regency Orange County at 11999 Harbor Blvd. in Garden Grove, next to Anaheim. The room block holds a $189 rate until October 9, 2026, or until it sells out. An all-day Claims Prevention and Risk Management workshop runs the day before, on preventing claims, insurance readiness, and responding to accidents. The Alliance's Legislative Fly-In brings operator members to Washington to meet their members of Congress. As of October 2, 2026, its 2027 dates are still to come.

### CTAA's EXPO and Fly-In

The Community Transportation Association of America holds EXPO 2027 in Atlantic City from June 6 to 9, 2027. Its Legislative Fly-In runs March 3 to 5, 2027, in Washington, and CTAA opened it to all members in 2025. Members get discounted EXPO registration and training. ### Ambulance and rural transit events

If you run stretcher trips under an ambulance license, the American Ambulance Association's save-the-date for its 2027 conference and trade show is July 21 to 23, 2027, at the Baird Center in Milwaukee. Its program includes a forum for state ambulance associations. Rural operators can look at National RTAP, a Federal Transit Administration program for rural and tribal transit. Its next Tribal and Rural Transit Mini-Conference runs October 13 to 15, 2026, in Boston, and its 7th national Training Summit runs December 7 to 9, 2027, in San Diego. ## State transit and paratransit association conferences

State transit associations bring together the transit agencies, human service agencies, and state transportation staff who buy demand-response rides or fund them. Some of these agencies contract with private companies for rides, as [ADA paratransit contracts](https://nemtguide.com/guides/ada-paratransit-contractor/) explains. These meetings are usually smaller than the national ones, and the buyers are close to home.

### Florida

Florida's Commission for the Transportation Disadvantaged names a Community Transportation Coordinator for each county or service area, and that coordinator arranges or provides shared rides for people who cannot drive. Those coordinators are the people to meet. In 2027 the Commission joins the Florida Public Transportation Association for one conference, October 24 to 27, 2027, in Daytona Beach. FPTA's 2026 attendee registration covers transit agency staff, students, and staff of vendors that do not exhibit or sponsor, and FPTA sells tabletop exhibit space to members and others. The Rosen Centre hotel has sold out. FPTA's calendar also lists a professional development workshop and transit safety summit June 7 to 9, 2027, in Tampa. ### Texas

The Texas Transit Association's 2027 conference is in Fort Worth, hosted by Trinity Metro at the Fort Worth Convention Center. The driver roadeo, with a van and paratransit division, comes first on February 19 and 20, 2027, and the conference opens with a reception on February 21. The Texas Department of Transportation holds its Semiannual Operators' meeting there on February 24, 2027, which puts state transit staff in the building. Early registration through November 30, 2026, is $500 for members and $600 for others. The group does not sell its attendee list, and it warns that anyone offering to sell you that list is a fraud.

### Pennsylvania

The Pennsylvania Public Transportation Association runs a free, one-day Shared Ride Summit on October 21, 2026, at the Hilton Harrisburg, on the state's Shared Ride Program for older adults and people with disabilities in all 67 counties. It is open to transit professionals, state agencies, community partners, and others who pre-register. The Fall Meeting, November 10 to 12, 2026, costs $380 for members through October 10, $430 after, and $530 for others. In 2027 the group meets April 19 to 22 in Lancaster, July 16 to 19 in State College for its roadeo and summer meeting, and November 3 to 5 in Gettysburg.

### California, Ohio, and other states

CalACT, the California Association for Coordinated Transportation, holds its Fall Conference and EXPO November 3 to 5, 2026, at the Hyatt Regency in Santa Rosa. Mobility Transformed, a separate event held in partnership with CalACT, follows there November 5 to 7, 2026. Its Spring Conference and EXPO is May 3 to 6, 2027, in Santa Barbara. In Ohio, the Ohio Public Transit Association's Best of the Midwest conference runs November 16 to 18, 2026, in Columbus. The Ohio Ambulance and Medical Transportation Association, which counts wheelchair transportation companies among its members, held its 2026 Annual Meeting and Reimbursement Conference September 9 to 11 in Newark, Ohio. If your state is not listed, search for your state's public transit association and your state rural transit assistance program. Many hold a yearly conference and a driver roadeo.

## Medicaid and broker meetings that cost nothing to join

Some of the most useful meetings are run by the Medicaid agency, the broker, or a state commission. They are often where program changes are explained to providers, and none of the ones below asks for a registration fee.

- **Medicaid advisory committee meetings.** Every state's Medicaid Advisory Committee meets at least quarterly. At least two meetings a year must be open to the public, with time set aside for public comment, and the state must announce each public meeting at least 30 calendar days ahead ([42 CFR 431.12](https://www.ecfr.gov/current/title-42/section-431.12)).
- **Wisconsin's NEMT Transportation Advisory Council.** It meets on the first Thursday of March, June, September, and December, and its meetings are open to the public. The next one is December 3, 2026, from 10:30 a.m. to 12:30 p.m. on Zoom. Members include health care providers, transportation companies, and counties. The NEMT manager, the company that schedules Wisconsin's Medicaid rides, gives an operations update at each meeting.
- **Florida's Commission for the Transportation Disadvantaged.** Its next business meeting is December 10, 2026, at 2:00 p.m. Eastern. Each county or service area also has a local coordinating board that advises its coordinator and helps write the local service plan.
- **Kentucky's transportation billing webinar.** Kentucky Medicaid and its claims contractor run a two-hour training on billing emergency and nonemergency transportation on October 22, 2026, at 10 a.m. on Teams. Register through the provider workshop page of the state's Medicaid claims system.
- **Broker provider meetings.** Ask your broker's provider relations team whether it holds provider meetings or town halls, and ask to be added to its invitation list. A new broker contract is the time to ask.

## Health plan conferences

In states where health plans cover rides, a plan usually picks the broker for its members, and some plans contract with providers directly. Their trade groups hold conferences where plan staff, lawmakers, and regulators meet. The Texas Association of Health Plans holds Texas Covered November 2 to 4, 2026, at the Austin Marriott Downtown. Registration is $800 for members and $1,200 for others, and it closes in late October. It suits a Texas company that wants to meet plan staff before it asks a plan for work. ## How to choose an event and make it pay off

Registration, hotel, and days off the road add up, so pick the room that holds your next contract.

1. **Match the event to the buyer.** For broker and health plan work, NEMTAC's Transform and health plan conferences put you in front of them. For transit and county contracts, go to your state transit association. If you hold an ambulance license, look at the ambulance associations.
2. **Register early.** Early rates and hotel blocks close weeks ahead. FPTA's 2026 hotel sold out before its October 2 cutoff, and The Transportation Alliance's block closes October 9.
3. **Bring a one-page sheet.** List your service area, vehicle types and counts, service hours, NPI, Medicaid provider number, insurance limits, and one phone number that someone answers.
4. **Set meetings before you go.** Email broker network staff and agency contacts two weeks ahead and ask for 15 minutes.

Yes. NEMTAC calls its Transform conference the national conference focused only on non-emergency medical transportation. It is built for providers, brokers, health plans, state Medicaid agencies, and regulators. Transform 2026 ran August 16 to 19, 2026, at the JW Marriott Grande Lakes in Orlando. NEMTAC had not posted dates for 2027 as of October 2, 2026, so check its events page.

### When and where is CTAA EXPO 2027?

CTAA lists EXPO 2027 for June 6 to 9, 2027, in Atlantic City, New Jersey. CTAA members get discounted access to EXPO and its training. CTAA also has a dues category for NEMT providers, starting at $500 a year for 0 to 10 vehicles as of October 2026, so a small company can join first and register at the member rate.

### Are there free NEMT events?

Yes. Medicaid advisory committee meetings are free, and every state must open at least two a year to the public with time for comments. Wisconsin's NEMT Transportation Advisory Council meets on Zoom on December 3, 2026, and is open to the public. Pennsylvania's Shared Ride Summit on October 21, 2026, in Harrisburg is free with pre-registration.

### Can I deduct the cost of a NEMT conference?

Generally yes, if attending benefits your business. IRS Publication 463 (2025) says you can deduct travel to a convention when you can show that, and the agenda usually shows the purpose. You cannot deduct travel for your family. Business meals are generally 50 percent deductible. Keep the agenda, receipts, and a note of who you met, and ask your tax preparer.

### Do I have to be a member to attend?

Usually not, but members pay less. The Texas Transit Association's 2027 early rate is $500 for members and $600 for others. The Texas Association of Health Plans charges $800 for members and $1,200 for others in 2026. Some events are members only: CTAA's Legislative Fly-In is open to its members, and The Transportation Alliance's fly-in takes its operator members to Congress.

### How do I find my broker's or state's provider meetings?

Ask your broker's provider relations team for its meeting and town hall schedule, and sign up for your state Medicaid agency's provider notices. Read your state's Medicaid advisory committee page, which must announce each public meeting at least 30 calendar days ahead. Kentucky, for example, takes registrations for its transportation billing webinar through the provider workshop page of its Medicaid claims system.
